Who we are

CALMFAX is a trading name of Project Forward Technologies Ltd (Company Number 16873528), the data controller for the personal data described here. You can contact us at hello@calmfax.com.

What we collect and why

• Account identifier. CALMFAX signs you in with an anonymous Firebase account (a random user ID). You can optionally sign in with Google, in which case we also receive your basic Google profile (name, email) to identify your account and let you use it across devices.
• Your settings. Your chosen weather location, selected news feeds, display preferences (theme, motion, dwell time), your daily-quiz progress (streak, completion dates and score), and the content of your private page (998). We store these so your CALMFAX looks the same each visit.
• Newsletter email. If you sign up for CALMFAX news on our website, we store the email address you provide, along with the date and a record of your consent, so we can send you occasional updates. This is separate from any CALMFAX account, and you can unsubscribe at any time (see Marketing emails below).
• Technical data. Standard server logs (e.g. IP address, timestamps) needed to operate and secure the service.
• Usage analytics. Basic first-party usage events (such as page visits and quiz completions) that we log on our own servers to understand how CALMFAX is used. These are recorded against a salted, hashed identifier — not your IP address — are never shared with any third party, and use no cookies or tracking pixels.

How your data flows

Weather forecasts, location searches, news headlines and daily-quiz questions are fetched by our servers on your behalf, so your browser does not contact those third-party sources directly and your IP address is not shared with them.

Lawful bases

• Legitimate interests — to provide, secure and improve a simple, calm daily dashboard.
• Consent — where you actively choose optional features (e.g. saving a location or feeds). You can withdraw consent by removing them.
• Consent — for sending you our newsletter, if you sign up. You can withdraw it at any time; doing so does not affect any emails sent before you withdrew it.

Service providers

We use trusted processors to run CALMFAX:

• Google Firebase (Authentication — including optional Google sign-in, Firestore, Cloud Functions, Hosting, Storage) — authentication, hosting and data storage.
• Open‑Meteo — weather and location data (queried by our servers).
• Open Trivia Database (opentdb.com) — daily-quiz questions fetched by our servers. Questions are used under the Creative Commons Attribution-ShareAlike 4.0 licence (CC BY-SA 4.0).
• News publishers (e.g. the feeds you select) — headlines fetched by our servers.
• Email delivery provider — used to send transactional and newsletter emails (for example, a sign-in welcome or our news updates).

International transfers

Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or standard contractual clauses.

Retention

We keep your settings and account data for as long as your account is active. If you delete your account or ask us to erase your data, we remove it, subject to any legal retention requirements.

We keep your newsletter email address until you unsubscribe or ask us to remove it, after which we delete it from our mailing list.

Marketing emails

We only send you marketing emails, such as the CALMFAX newsletter, if you have opted in by signing up on our website. Every marketing email includes a way to unsubscribe, and you can also opt out at any time by emailing hello@calmfax.com. Withdrawing consent stops future marketing emails but does not affect any other use of CALMFAX.

Your rights

Under UK GDPR you have the right to access, correct, erase, restrict or object to our processing of your personal data, and to data portability. To exercise any right, email hello@calmfax.com.

You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

Children

CALMFAX is not directed at children under 13 and we do not knowingly collect their data.

Changes

We may update this policy from time to time. Material changes will be reflected by the date above.
